TITLE: Finance/HR Assistant
PERFORMANCE PROFILE SOURCE: Finance/HR Administrative Support
DEPARTMENT: Finance/Human Resources
REPORTS TO: Chief Financial Officer (CFO)
STATUS: Full-time or Part-time (32–40 Hours/Week, depending on candidate)
STARTING SALARY RANGE: $45,000 – $55,000 annually (Prorated If Part-time)
BENEFITS: Eligibility Dependent on Full-time (40 Hours/Week) status

PRIMARY FUNCTION
The Finance/HR Assistant supports the Chief Financial Officer in the execution of core financial
and human resource functions. This role ensures accuracy, compliance, and strong internal
controls across accounting, payroll, and personnel processes while maintaining organized and
confidential records.

KEY RESPONSIBILITIES

Finance & Accounting
• Assist with accounts payable and receivable functions, including invoice processing,
payment tracking, and collections follow-up.
• Prepare and submit quarterly payroll tax filings (e.g., IRS Form 941).
• Coordinate and distribute annual employee tax documents (e.g., IRS Form W-2).
• Maintain and reconcile general ledger accounts in QuickBooks or other accounting
systems.
• Assist CFO with monthly financial close process, including journal entries and
supporting schedules.
• Generate routine financial reports (budget vs. actuals, grant tracking, etc.).
• Support preparation for annual audit and 990 filing, including gathering requested
documentation.
• Monitor restricted vs. unrestricted funds for compliance with grant and donor
requirements.
• Assist with cash flow tracking and forecasting support.

Systems & Technical Skills
• Utilize financial and HR systems such as Salesforce, QuickBooks, and Paycor for
accurate data entry and reporting as well as the ability to learn new systems as
introduced.
• Demonstrate strong proficiency in Microsoft Excel (formulas, pivot tables, data tracking).
• Maintain data integrity across financial and HR systems.
• Assist in system improvements, reporting enhancements, and process automation where
applicable.

Human Resources
• Support full-cycle onboarding and offboarding processes.
• Track and ensure compliance with required trainings, certifications, and licensure (if
applicable).
• Assist with benefits administration, including enrollments, changes, and employee
communication.
• Serve as a point of contact for employee HR-related questions (payroll, benefits, policies)
Support performance review tracking and documentation processes.
• Assist with unemployment claims, workers’ compensation reporting, and HR compliance
documentation.
• Maintain compliance with federal and state labor laws and grant-related HR
requirements.

Internal Controls & Compliance
• Ensure adherence to internal controls and financial policies
• Maintain documentation for grant compliance and monitoring
• Assist in developing and documenting standard operating procedures (SOPs)
• Support CFO in risk management and compliance tracking

SKILLS/KNOWLEDGE PREFERRED:
• Associate’s degree in Human Resources, Business, or a related field preferred; equivalent
combination of education and relevant experience will be considered
• 1–3 years of experience in human resources, administrative support, payroll, or a related
field preferred (nonprofit experience a plus)
• Exposure to payroll processing or HR systems strongly preferred; willingness to learn
and grow in these areas required
• Basic understanding of HR practices, compliance, or employee documentation, or a
demonstrated ability to learn quickly
• Strong organizational skills and attention to detail
• Clear and professional written and verbal communication skills
• Ability to handle sensitive and confidential information with discretion
• Comfortable using Microsoft Office (Excel, Word, Outlook) or similar systems
• Ability to support and collaborate with supervisors across multiple locations
• Positive attitude, reliability, and willingness to take initiative and build new skills

WORK ENVIRONMENT & EXPECTATIONS:

RELATIONSHIPS:
Internal: Works closely with the CFO and collaborates with Branch Directors, site leadership,
and administrative staff to support consistent HR processes, payroll coordination, and financial
recordkeeping across all locations.
External: Maintains contact with benefit providers (as applicable), payroll vendors, background
check providers, and other service or compliance partners to support accurate processing and
regulatory requirements.
