Position: Accountant
Maintains a financial accounting and payroll system in accordance with generally accepted accounting principles, encompassing all PAVSA programs, projects and activities
Duties
Under the direction and supervision of the Executive Director
Maintain financial records for the organization (45%)
Process payroll (20%)
Prepare financial reports for grants and board (20%)
Prepare and monitor annual budget (15%)
Essential Functions
Maintain financial records for the organization (45%)
Weekly:
Verify and post details of business transactions into automated system
Process vendor invoices and create payment vouchers Comply with and enforce adequate internal controls
Issue checks upon proper authorization
Identify areas for process improvements
Monthly:
Track drawdowns per grant using individual spreadsheets against approved budgets
Reconcile and balance all ledger accounts related to cash disbursement
Reconcile bank account and credit card
Summarize and detail in separate ledgers or computer files and transfers data to general ledger
Maintain and reconcile separate accounts as requested for specific programs, projects or grants
Annual Audit:
Complete all analysis, reports and requested information for the annual audit
Prepare all information and reports requested by the auditor
Ensure that all financial records are accurate and up to date for the audit
Coordinate with auditor on audit and 990 tax form
Process and monitor payroll (20%)
Calculate employee wages from records or time sheets
Prepare and issue checks for payment of wages on biweekly basis
Prepare withholding, Social Security, and other quarterly and annual tax reports in the time and forms as required (IRS, MN) including W-2s and W-99s
Track and maintain accurate records of employee sick leave, vacation, insurance and other personnel matters as required or requested
Assist Executive Director with required documentation for matching funds and time-and-effort logs as required by grants
Prepare financial records for grants and board (20%)
Prepares and submits timely and accurate financial reports and reimbursement requests to foundations, government agencies and other entities
Provides timely and accurate financial information to the board, board committees and Executive Director as requested
Compiles reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss and other items pertinent to the operation of the organization
Prepare and monitor annual budget (15%)
Assists in preparation of the organization’s annual budget in coordination with the ED
Provides analysis of projections and variances in a timely manner
Prepares budgets and assists with grant and contract applications as requested
Prepares monthly cash flow statements to assist in monitoring budget
Special Requirements
Must be able to sit in a stationary position or stand for prolonged periods of time (75%)
Position is based out of an office in downtown Duluth
Must have access to reliable transportation
Constantly operates a computer and other office productivity machinery, such as a copy machine and computer printer
Qualifications
Education and Experience: Degree in accounting from a four-year college or university or comparable job experience
Experience in nonprofits preferred
Computer skills including Microsoft Windows Suite, Excel, and working knowledge of current financial software (Quickbooks)
Knowledge of generally accepted accounting practices
Good communication skills
Ability to write reports and business correspondence
Able to present information and respond to questions from board, donors, foundation representatives and the auditor
Compensation & Benefits
$27/hour – $30/hour, depending on experience, up to 20 hours per week
Required Tuesday between 8:30 – 4:30 with flexible schedule Mondays and Wednesday through Friday 8:30 – 4:30
